About the role
We are looking for a proactive and organised Team Assistant to join our Group Services (Finance and Legal & Risk) function, based in Sydney.. Reporting into the Business Manager to the CEO and with a dotted reporting line to the Business Manager for People & Culture, this is a part-time role (on site Tuesday to Thursday) that provides administrative support to our People & Culture and Group Services teams.
You will be the engine that keeps things running smoothly — managing calendars for up to two leaders in our Group Services team, coordinating team events, supporting key business processes, and ensuring our leaders can focus on what matters most. Whether you're helping set up a Town Hall, processing expenses or welcoming a guest, your attention to detail and professional presence will make a real difference.
How will you make an impact?
- Executive support: Provide proactive calendar and email management for up to two senior leaders in our Group Services team, anticipating their needs and making confident decisions to protect their time
- Meeting and event coordination: Prepare materials, receive guests, set up Town Halls and manage all meeting logistics
- Financial administration: Process monthly invoices and expense claims accurately and in a timely manner
- Team coordination: Support onboarding of new starters by liaising with IT, People & Culture and building management teams
- DocuSign and document management: Own the DocuSign process and support the preparation and collation of business documents
- Stakeholder engagement: Build strong relationships with Executive Assistants and team members across our global offices, working across multiple time zones
The superpowers you'll be bringing to the team
- Experience: Demonstrated success in a similar Team Assistant role, ideally within professional services, technology, banking or a start-up environment
- Proactive approach: You anticipate issues before they arise and take initiative to resolve them on behalf of the leaders you support
- Discretion and professionalism: You handle sensitive and confidential information with the utmost care and judgement
- Stakeholder savvy: Comfortable managing relationships with a wide range of internal and external stakeholders, including clients and senior executives
- Attention to detail: High accuracy across all tasks, from document preparation to calendar management
- Communication skills: Exceptional written and verbal communication skills
- Tech proficiency: Advanced Microsoft Office skills including Outlook, Word, Excel and PowerPoint
