AI Education Programme Coordinator

Sydney

Who is Quantium?

Quantium is a world leader in data science and artificial intelligence. Established in Australia in 2002, Quantium is a global team of more than 1,200 people across 14 locations with a unique blend of capabilities across product and consulting services to help businesses unlock value from data and analytics. Quantium partners with the world's largest corporations to forge a better, more intelligent world.

We're ALL in on AI — transforming ourselves into an AI-native organisation while helping our clients do the same. With 23 years of domain expertise, proprietary data partnerships, and industry-leading AI adoption (90% weekly active usage).

Quantium's Edge programme puts senior executives from Australia's largest organisations in a room together to explore what AI means for their business. It's high-profile, fast-paced, and growing — and we need someone to make sure every session runs like clockwork.

As Edge Programme Coordinator, you'll own the delivery engine behind the programme. You'll manage the logistics, communications, and stakeholder coordination that make each session possible - across multiple cities, often running concurrently. You'll work directly with senior leaders inside Quantium, liaise with facilitators and subject matter experts, and be the person everyone relies on to keep things moving.
This isn't a back-office coordination role. You'll be visible, trusted with high-stakes detail, and exposed to AI strategy at an executive level early in your career. If you're someone who gets energy from making complex things run smoothly and you want to build a career in the AI space - this is a serious launchpad.

How You'll Create Impact

  • Lead the delivery of AI solution components within client engagements, ensuring high-quality outcomes that meet business requirements
  • Run end-to-end delivery of Edge sessions - from registration and invite list curation through to venue coordination, materials prep, and post-event follow-up - so that every touchpoint reflects the quality of the programme
  • Own attendee communications across the full lifecycle, making sure correspondence is timely, accurate, and worth reading
  • Work with programme leads and senior stakeholders to progress invite lists and approvals without creating bottlenecks or chasing loops
  • Keep CRM data (HubSpot) clean and current, supporting outreach targeting and engagement reporting
  • Spot friction in delivery processes and fix it  - contributing to a playbook that makes each round of sessions easier to run than the last
  • Feed into post-event analysis that shapes how the programme evolves

The Superpowers You'll Be Bringing To The Team

  • Attention to Detail: You're meticulous and you take pride in it. Misspelt name cards, missed calendar clashes, emails stuck in draft — you catch the things that other people don't, because you know that in high-stakes delivery the small stuff matters most.
  • Calm Under Pressure: Multiple sessions running across cities, senior stakeholders with competing priorities, timelines that don't budge — you stay steady, prioritise well, and deliver when it counts. People trust you because you don't drop things.
  • Ownership Mentality: You don't wait for someone to tell you what needs doing. You see what's coming, flag risks early, and run your workstream end to end. You make the people around you faster just by being reliable.

Required Experience and Capabilities

  • 1–3 years in a coordination-heavy role - programme coordination, operations, executive assistance, PMO, or similar in a corporate environment
  • Strong organisational skills, demonstrably reliable across competing priorities and tight timelines
  • Sharp written communication - you'll be writing to senior executives and your emails need to land
  • Confidence working with senior stakeholders without being tentative about it
  • Comfortable taking ownership and running independently - this role has real autonomy
  • Tertiary qualification or equivalent professional experience
