The role
We hire fast, and we hire a lot. Our hiring system is one of the most automated you'll find: AI screens every application, video interviews send themselves, references and police checks run on rails. What it needs is an owner. Someone who keeps the machine honest, keeps candidates feeling looked after, and keeps founders out of the scheduling weeds.
That's you. You'll own every pipeline across every open role: reviewing AI-surfaced top picks, triggering video screens, scheduling interview panels, chasing scorecards, running offers and checks, and handing new starters cleanly into onboarding. Part air-traffic controller, part candidate champion, part systems operator. When something in the machine squeaks, you notice first and you fix it.
What you will do
- Run every hiring pipeline daily: review AI-screened top picks, trigger video screens, and keep candidates moving through stages
- Own interview scheduling end to end: panels, calendars, reschedules, and the follow-ups that stop things stalling
- Own the candidate experience: timely comms, clean rejections with our templates, and no one ever left hanging
- Chase scorecards and keep interview feedback flowing so decisions happen in days, not weeks
- Run offers, reference and police checks, and the handover into onboarding
- Keep Greenhouse clean and truthful — stages, rejection reasons, reporting — and spot manual steps we should automate next
What you bring — Required
- 2+ years in recruitment coordination, talent operations or HR admin in a fast-moving environment
- Ruthless organisation: you can run 10 live pipelines and 30 interviews a week without dropping one
- Warm, clear, fast communication with candidates and hiring managers alike
- Comfort living in an ATS (Greenhouse or similar) and picking up new tools quickly
- Discretion — you'll handle offers, salaries and sensitive candidate information daily
Strongly preferred
- Experience in a tech scale-up or agency where hiring never stops
- Experience with automated hiring stacks: one-way video screening, AI screening, scheduling tools
- Working knowledge of Australian hiring practicalities: contracts, working rights, police checks, references
- Flex market and energy systems experience is always a big bonus
Nice to have
- Employer branding or careers-page content experience
- Basic reporting chops — you can tell the founders what the funnel is doing without being asked

The interview process
Our process is straightforward and moves fast: a short video interview (we know most people hate this — the only people who don't hate it are in sales — but it's an important and necessary step, and if you can't push outside your comfort zone, you're not going to fit in here), then a practical deep-dive on real problems, not puzzles, then a final conversation with the founders. We move quickly for the right person.
